At Anchor Technology, Inc., (ATI) we find that we do our most efficient work on sites that we are familiar with.  Therefore when we accept new clients we like to perform a site survey and document the I.T. components, servers, pc’s, printers, network addresses etc. so that we have a informal Blueprint to provide a roadmap that facilitates better support.

This informal Blueprint is very helpful for all size installations from 1 PC on up.  A single PC office has the same challenges as a 25 user office in that their PC is mission critical to them and backup and disaster recovery is vital.

ATI, serves many of its customers as their “I.T. Dept. On-call” taking care of all or most of the computer issues from email, websites, servers, pc’s and pc support, loading and maintaining software, setup of printers and peripherals and support, antivirus, security, firewalls etc. or supplementing existing staff.

We invest complimentary time in new clients to get familiar with their system so we are positioned for efficiency and success.. When services are requested we provide on time and materials basis, per hour.

Mission Critical Servers may justify a service agreement for a fixed amount to provide availability of spare parts.

     Disaster Recovery
A component of disaster recovery is planning and backup. Even on a pc an inventory of Windows and Applications versions, licenses is important. Although we can often save data on a hard drive after equipment failure, provisions should be made while the equipment is functioning correctly.

       Server Backup Tapes
Most servers have automatic scheduled full system backups to tape each night unattended.

Its a good idea to:

Pull a tape from rotation periodically for a backup in a point of time,  and store off-site

Periodically verify that backup is working correctly.

All new tapes should have data placed into service and replace at least every three years depending on usage.

Have your I.T. company verify a backup tape on one of their servers to verify data is compatible and readable.

Store your backup tapes away from the server in case of fire or theft in a safe place such as firepoof file cabinet or safe.

For many years since Office 97, Microsoft Word documents have been stored as .doc file types and Excel stored as .xls format.

With the release of Microsoft Office 2007 and later the default file format has changed to .docx for Word and .xlsx for Excel.

Therefore users of Office 2007 and later by default store word and excel files in a format that Office 2000, 2003 users cannot open.

On a company network that has mixed use  of  Office 2003 and Office 2007, the Office 2007 users can be configured to “save as” .doc and .xls for compatibility with coworkers.

Users of Office 2000/2003 that need to open Word or Excel files iin new “x” format can download the “Microsoft Office Compatibility Pack” free to open the new format files.

Need to open a Microsoft Power Point file?  Most PC’s have Word and Excel but do not have PowerPoint.  If you need to open a PowerPoint presentation and do not have the PowerPoint program, download the PowerPoint viewer free from Microsoft.

From time to time, verify that all PC’s and Servers on your network have current, up to date antivirus software functioning. It is a common problem that a license expires and you are unprotected or a virus or malware disables your antivirus. Note: It is important to the heath of your entire network to have all components protected.
